Executive Summary
“Lead Form” campaigns on Facebook and Instagram are among the fastest ways to capture leads. However, when prospects who fill out these forms are contacted hours later, their interest has already cooled considerably. In this system proposal, we design a workflow that captures lead data from Meta ads in real time and sends the prospect an automated catalog/welcome message via the WhatsApp Business API within 30 seconds.
Who Is This For?
- Companies running Meta Lead Ads (Lead Generation) campaigns.
- Sales teams that want to reach form-submitting prospects with zero wait time (response time = 0).
- Operations leaders who want to completely eliminate manual number-saving and message-writing processes.
Key Concepts
- Webhook Link: A URL trigger that instantly pushes data to a target system when an event occurs in an external system (e.g., a form submission).
- HSM (Highly Structured Message): An official WhatsApp message template pre-approved by Meta that is permitted to initiate first contact with a customer.
The Problem: High Ad Costs and Cooling Leads
In B2B or real estate–focused Meta campaigns, the cost per form submission can be quite high. While marketing teams spend these budgets, sales reps manually download forms from dashboards, pull them into Excel, then save numbers to their phones and attempt to message prospects on WhatsApp. Because of this operational sluggishness, response times stretch into hours. In a competitive landscape where “first to respond wins,” wait time directly drags down conversion rates.
The Solution: Real-Time Webhook and WhatsApp API Integration Architecture
In the infrastructure we propose, the Meta API fires a webhook the millisecond an ad form is submitted. A Make.com scenario receives this data, records it in the CRM, and simultaneously sends the prospect an automated, pre-approved template message via the WhatsApp Cloud API.
Prospect Submits Form → Meta API Fires Webhook → Make.com Captures Data
├─ Task Assigned to Sales Rep in CRM (SLA = 15 min)
└─ Instant Catalog & Message Delivered to Prospect via WhatsApp API (30 seconds)
Integration Workflow Steps
- WhatsApp Business API Setup: A WhatsApp Cloud API account is activated from the Meta Developer dashboard and the business profile is verified.
- Preparing the Message Template (HSM): The draft of the first message to be sent to the prospect is created and submitted for Meta approval:
“Hello {{1}}, the catalog you requested is ready. You can review the PDF file using the button below. Have a great day!”
- Building the Make.com Scenario:
- Step 1: The Meta Lead Ads module is connected as a webhook.
- Step 2: Using a Router, the data is both written to the CRM database and passed to the WhatsApp Business API module.
- Step 3: The WhatsApp module targets the phone number captured from the form and fires the approved HSM template along with the catalog link.
System Security and KVKK Compliance
KVKK (Turkish Personal Data Protection Law)/GDPR compliance is legally secured by making it mandatory for the prospect to check the “I consent to being contacted via WhatsApp” checkbox (opt-in) when filling out the form. API data transfer takes place over the HTTPS protocol, encrypted with SSL certificates.
